What Actually Happens to Your Data When You Delete a File in Google Workspace
"Delete" doesn't mean gone. It means the countdown starts.
Most people assume clicking delete removes a file, right then, permanently. In Google Workspace, that's rarely how it actually works, and understanding the real mechanics matters whether you're trying to get rid of something sensitive or trying to keep something safe.
What Happens the Moment You Delete a File
Deleting a file in Drive moves it to Trash, it doesn't destroy it. Trashed files are automatically removed after 30 days, or sooner if a user empties Trash manually. Either way, this is a soft delete. Whether the file is actually gone at that point depends entirely on whether your organization has retention rules in place.
If Your Organization Uses Retention Rules
By default, Google Workspace data stays in user accounts until the user or admin deletes it, there's no automatic long-term retention unless an admin sets one up in Google Vault. Once a retention rule exists, though, the behavior changes completely: deleting a file no longer removes it. A copy is retained until the rule's retention period expires, regardless of what the user does in their own account.
This cuts both ways. If you assume a file is gone because you deleted it, but a retention rule covers it, it isn't. If you're relying on retention to preserve something for compliance, but no rule is actually configured, deleting it is final.
The Full Deletion Timeline
When data is genuinely being removed (either by user action with no retention rule, or after a retention period expires), Google's own account-level policy describes the process as generally taking around two months, including up to a month-long recovery window in case the deletion was unintentional. Encrypted backups can retain a copy for up to six months beyond that as a disaster-recovery safeguard.
Inside Vault specifically, the timelines are more granular: items in Drive can take up to 15 days to be removed after all retention rules expire, and files deleted and emptied from Trash become unavailable to Vault almost immediately unless a rule or hold extends their availability.
What This Means If You're Trying to Actually Remove Something
If you need guaranteed deletion, an accidental upload of sensitive data, a client offboarding, a departing employee's files, you cannot assume "empty Trash" is the end of the story. Check whether a retention rule or hold applies first. If one does, deletion doesn't happen until that rule allows it, not when you click the button.
What This Means If You're Trying to Keep Something
The reverse matters just as much. "I deleted it, so it's handled" is not a safe assumption if your organization runs default retention rules, or if the item is subject to a legal hold. It may still be fully recoverable by an admin, which has real implications if you're thinking about it purely as a security question rather than a compliance one.
Final Thoughts
In a system with any retention policy layered on top of it, delete is a request, not a command. Google Workspace's defaults are more permissive here than most people assume, which is exactly why it's worth knowing which rules actually apply to your organization before you rely on either outcome.
